Terms and Conditions

Terms and Conditions

Please read the following Booking Terms and Conditions carefully before completing the Booking Confirmation Form .

1. Booking Confirmation, Deposit and Payment.

a) Vacation reservations will be booked and confirmed when myguideBritain has received guest credit card details (by telephone) and a submitted online booking confirmation form .  Availability of any vacation segment is not guaranteed before this point.  Please ensure that all passenger names submitted in your booking confirmation form are correct as per your passports as we will use these details for any flight / rail tickets.

b) A non-refundable deposit of 20% is payable on all land reservations for bookings made more than 10 weeks prior to travel and full balance on these vacations is due 10 weeks prior to travel.  Full payment of land reservations is due for bookings made within 10 weeks of departure date.  In all cases submitted credit card details are initially used as a guarantee and payment is only charged once all land reservations are fully confirmed.  Any changes from the final itinerary due to availability issues will be cleared by the guest before any payment is charged.  Once payment is charged (either 20% deposit or full payment) the land package is deemed as booked and myguideBritain cancellation penalites (as per section 2) and amendment fees (as per section 14) apply.

c) Full and immediate payment is required on flight reservations.  This payment is completely non-refundable.  Due to frequent price fluctuation ticket prices will not be guaranteed prior to receipt of payment and completed booking confirmation form.

d) myguideBritain accept deposit payment by Visa, MasterCard, Discover and American Express credit cards.  Further payments or balance payments can be made by credit card, bank transfer or cheque.

e) myguideBritain will endeavor to remind guests of final payment dates however it is also the responsibility of the guest to ensure payments are made on time.  For any seriously overdue payments myguideBritain reserve the right to cancel reservations and any deposit paid becomes forfeit.  Guests will always be contacted before such action is taken.

2. Vacation Package Cancellation.

All cancellations must be made in writing (via email or traditional mail).

a) The following Cancellation fees apply:

For cancellation of packages before 10 weeks prior to departure:  Cancellation fee of non-refundable 20% deposit on land package and full 100% non-refundable cost of flights.
For cancellation of packages between 10 and 3 weeks prior to departure: Cancellation fee of 50% of total land package value and full 100% non-refundable cost of flights.
Cancellation of packages within 3 weeks of departure: Cancellation fee of 100% of package value.

b) Cancellation of individual Package Segments:  myguideBritain will endeavor to waive cancellation fees and make full refunds wherever possible for cancellation of individual segments of a package resulting in minor changes to the overall package value. Where this is not possible, the above cancellation penalties will apply.  Please note: cancellation of flight segment is completely non-refundable.

You can insure yourself against cancellation penalties by taking out trip/travel insurance.  Guests from the USA and Canada can benefit from our specifically designed Comfort Plan trip insurance .

3. Airline Tickets.

a) Airline tickets will be booked, confirmed and charged immediately upon receipt of guest credit card details and a completed booking confirmation form.  Fares will not be guaranteed before this point due to frequent price fluctuations.

b) Name details for flight tickets will be taken as per your completed booking confirmation form.  The names submitted should always correspond directly with your name as printed on your passport.  Name changes on airline tickets carry a penalty charge and myguideBritain are not accountable for name change fees as a result of incorrect information provided to us.

c) Once flight tickets are charged flights are deemed as booked and myguideBritain cancellation penalties apply.  Please note: Flight Tickets are completely non-refundable.

d) Tickets are subject to change fees, as per airline terms and conditions, and additional administration fees from myguideBritain to process any airline ticket changes.  This includes name changes on tickets (see section 3.b. Above).

e) It is the responsibility of the guest to familiarize themselves with the terms and conditions of  the  particular airline providing their flight travel.

f) All tickets will be issued as e-tickets unless otherwise advised.

g) Whilst myguideBritain will endeavor to inform guests of airline schedule changes and/or flight delays, it is the responsibility of the guest to check their schedule shortly before travel.  myguideBritain cannot be held responsible for missed flights due to airline schedule changes.  Your e-ticket as issued will always allow you to view up-to-date flight information online regarding your specific schedule.  Any printed schedules are valid only at the time of printing and are subject to potential schedule changes.  We always recommend that you contact your airline or airport of departure one day prior to leaving to confirm schedules.

h) Please note that European carriers for domestic travel within the UK and Ireland and other areas of Europe have different baggage weight restrictions (usually considerably lower) compared with transatlantic travel.  Charges may apply for excess baggage, please contact the relevant airline or ask your vacation specialist for further details.

i) All economy airline tickets carry a cancellation penalty or change fee depending on the airline and the fare paid.

4. Car Rental.

a) Car rental will be booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form.

b) myguideBritain will endeavor to book the car-type as laid out in the final itinerary.  Wherever this is unavailable myguideBritain will offer an alternative car type/group.  Please note specific models cannot be guaranteed, only the car group/category.

c) Payment of land package (deposit or full payment) is only charged once guest has confirmed they are happy with any car rental changes/amendments from the final itinerary.  Once the land  package has been charged car rental is deemed as booked and myguideBritain cancellation penalties and amendment fees apply.

d) It is the guests responsibility to notify myguideBritain if they are in breach of any of the car rental company’s terms & conditions.  For full car rental booking terms and conditions of myguideBritain suppliers please choose from the following: Europcar , Arnold Clark, Enterprise.

e) Car rental includes 3rd party insurance, collision damage waiver, unlimited mileage, and all taxes as standard. There are no hidden costs or taxes but all car rental companies will offer additional optional insurances at the point of collection. If you take out these additional optional insurances you will be billed directly by the car rental company.

f) The Car Rental Company will require a credit card imprint when you collect your car to cover the insurance excess/deductible, fuel deposit, extra services. etc. Cash deposits will not be accepted.  Some car rental companies also require thumb prints.

g) The car rental company reserves the right to release/re-sell vehicles not collected within one-hour of the booked collection time as per your car rental voucher.  Please contact the relevant rental office to advise if you will be late for a collection.  If guests are late due to flight delay and cannot contact the rental company, their rental car will be held providing guests booked the flights through myguideBritain or advised myguideBritain of flight details prior to travel.

h) The car rental company reserves the right to charge guest credit card for legal charges and fines (such as parking tickets and speeding fines) along with administration fees, for any charges incurred by the guest during their rental.

5. Hotel and Pre-booked B&B Accommodation.

a) Accommodation will be booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form.

b) myguideBritain will endeavor to book the accommodations as laid out in the final itinerary.  Wherever this is unavailable myguideBritain will offer an alternative of similar standard and/or price range. 

c) Payment of land package (deposit or full payment) is only charged once guest has confirmed they are happy with any accommodation changes/amendments from the final itinerary.  Once the land  package has been charged accommodations are deemed as booked and myguideBritain cancellation penalties and amendment fees apply.

d) Check-in/Check-out times vary at different accommodations.  Hotels generally have 24hr receptions and allow check-in from 2pm onwards.  Please contact your accommodation to confirm late arrivals.  Unless otherwise stated B&B accommodations require check-in between 4pm and 7pm however as they are family operated homes we would recommend calling in advance to advise an approximate time of arrival.  If you are going to arrive outwith the hours of 4pm-7pm guests should call ahead to advise the B&B owners.  Please ask your guide for information regarding your accommodations if you have specific requests.

e) Standard bed sizes vary between the UK and other countries (most notably the USA and Canada).  Most hotel rooms in Britain will have a standard UK double bed (54inch x 75inch).  UK King beds are the equivalent to a US Queen-size bed however these are often only available in superior rooms.  Please ask your guide for more information if you have special requirements.

f) Hotel / B&B Child Policy varies depending on the age of the child and each establishment.  Children normally pay full adult price when sharing with one adult.  When sharing with two paying adults children often receive free accommodation but must pay for any meals direct to the hotel/B&B as taken (including breakfast).  Supplements may apply for addition of an extra bed / cot / crib for a child.  When travelling with children please ask your guide/agent for full details of the child policy of each accommodation in your itinerary.

g) Disabled Facilities / Rooms vary greatly between accommodations.  myguideBritain often work with small family run hotels and B&Bs and it should be noted that many do not have elevators / lifts, however ground floor rooms are often available.  If you have special requirements, please advise your agent / guide in advance to ensure that suitable accommodations and services are booked.

6. Bed and Breakfast Town and Country Vouchers

a) Town and Country House Bed and Breakfast Vouchers (Ireland) or Discover Travel and Tours Go-As-You-Please B&B e-vouchers (Britain) are issued upon receipt of credit card details and a completed booking confirmation form.

b)  Once issued B&B vouchers are subject to myguideBritain cancellation and amendment penalties.

c) Unused B&B vouchers can be returned to myguideBritain for a refund less 20% administration fee.  Please note, myguideBritain cannot make refunds for lost B&B vouchers.


7. Rail Tickets and Passes.

a) Rail tickets are booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form.

b) Rail tickets are deemed booked once payment of land package (deposit or full payment) has been charged and after this time myguideBritain cancellation penalties and amendment fees apply.

c) All rail tickets are open tickets (unless otherwise stated) valid on any rail service at any departure time between the destinations listed.  Rail tickets are valid from the start date stated on the itinerary and are valid for a period of 2 months.

d) Britrail Passes are not valid for UK residents.  For this reason you must have a valid form of identification (e.g. Passport) with you when using Britrail Passes.  Britrail Passes are valid for a period of 6 months from the start date stated on the itinerary and must be validated on their first day of use at the ticket office of a UK railway station.  Once validated the Britrail Pass is valid for travel to the conditions of the specific pass-type.

e) myguideBritain cannot be held responsible for railway schedule changes and train delays.

f) myguideBritain cannot make refunds for lost or stolen tickets and recommend travel insurance to cover you for such eventualities.  Refunds cannot be made for unused rail tickets or unused days on rail passes.

8. Ferry Tickets and Crossings.

a) Ferry tickets are booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form.  Car/Passenger places on the quoted route/schedule are not guaranteed before this time.

b) Ferry tickets are deemed booked once payment of land package (deposit or full payment) has been charged and after this time myguideBritain cancellation penalties and amendment fees apply.

c) Whilst myguideBritain cannot be held responsible for schedule changes or crossing cancellations resulting from poor weather conditions or other causes and subsequent expense to guests, we will always endeavor to make suitable alternative arrangements wherever possible as a result of such schedule changes.

9. Other Tours, Tickets, Transfers and Passes.

a) Day tour tickets, attraction entry tickets, transfers (private, rail or scheduled), sightseeing attraction passes and theatre tickets are booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form and availability of any product is not guaranteed before this point.

b) Tours, Tickets and Passes are deemed booked once payment of the land package (deposit or full payment) has been charged and after this time myguideBritain cancellation penalties and amendment fees apply.

c) myguideBritain are unable to refund unused tours, attraction tickets and attraction passes unless the relevant attraction/ tour is withdrawn or closed for reasons beyond our control in which case a full refund will be made.  For multi-attraction passes we are unable to refund passes if individual attractions are closed.

10. Escorted Coach Tours and Mini Tours.

a) Escorted Coach Tours and Mini Tours will be booked and confirmed upon receipt of guest credit card details and a completed booking confirmation form.  Availability of any tour will not be held or guaranteed before this point.

b) Tours are deemed booked once payment of the land package (deposit or full payment) has been charged and after this time myguideBritain cancellation penalties and amendment fees apply.

c) Tours include itinerary, attraction entry, meals and transport as per the relevant page of our website however may be subject to change as a result of temporary attraction closure etc. Where this occurs alternative arrangements will be made by the operator.  Itineraries featured on our website are done so in good faith and myguideBritain are not responsible for minor schedule changes made by the operator.

d) Operators of Escorted Tours or Mini-Tours reserve the right to withdraw scheduled tours due to operational and practical reasons and reasons beyond the control of the operator.  In this case they may offer alternative tours and/or myguideBritain will always endeavor to provide suitable alternatives.  Tour operators or myguideBritain are not held responsible for any subsequent expense for change or cancellation of flight reservations and/or additional travel arrangements.  The operators may offer to contribute towards such amendment fees in order to accommodate guests on an alternative tour.

e) Further conditions apply for escorted mini-tours.  Trip insurance is mandatory to participate.  For full terms and conditions please contact your operator.

11. Travel Insurance.

a) It is strongly advisable and recommended that all guests take out some form of trip/travel insurance to protect against unforeseen circumstances.  Most trip/travel insurance policies will cover for unforeseen eventualities including sickness, bereavement, trip interruption, flight delay, baggage loss etc.  It is the responsibility of the guest to ensure that you have adequate insurance coverage when you travel.  Trip insurance can be purchased through any quality insurance provider and is also often available from your credit card provider or bank.  US and Canadian citizens can benefit from myguideBritain's own tailored insurance designed for our vacations by CSA insurance.  Click here for details.  Operators of myguideBritain's "mini-tours" specify that some form of trip insurance is mandatory.

12. Travel Documents from myguideBritain.

a) Guest travel documents and information will only be shipped once full and final payment has been received for the vacation package.  Unless otherwise specified standard shipping costs are included in your vacation price.  Documents are shipped via courier.  For late bookings additional supplements may be required for expedited shipping of travel documents.

b) It is the responsibility of the guest to thoroughly check through the itinerary, documents, tickets and vouchers including tour and car rental collection times, locations etc.  It is important to ensure that all information is correct as booked.  In the case of any discrepancy it is the responsibility of the guest to inform myguideBritain as soon as possible in order to check the relevant reservation/s, make any amendments and re-issue any relevant ticket/voucher.

c)  Tickets and vouchers are only issued at the time of final payment.  As some tickets/vouchers are printed and issued in our UK/Ireland based offices it should be noted that they may take time to reach their final destination.  People making late reservations should be aware of this.  Where it is deemed safer and is agreed by the guest, tickets may be mailed to UK accommodations for collection upon check-in.

13. Withdrawal of Services by a Supplier.

a) In the rare event that a third party supplier (accommodation/tour provider etc.) withdraws their service or is unable to provide it as confirmed, myguideBritain will always endeavor to make alternative arrangements for the guest.  Where reasonable/acceptable alternative arrangements cannot be found myguideBritain will refund in full all monies relating to that service.  Where the withdrawal of a service seriously affects the entire vacation package (e.g. Extended tour itineraries) myguideBritain will endeavor to refund the entire package price (except fully non-refundable flight tickets).  myguideBritain cannot accept liability or responsibility for non-refundable flight reservations or fare amendment fees caused by changes resulting from withdrawal of services by a third party supplier.

14. Trip Delay.


a) Providing we are informed as soon as possible, myguideBritain will endeavor to amend vacation reservations and waive amendment fees for itinerary changes as a result of trip delay due to unforeseen flight/train/ferry delays.  myguideBritain will not, however, be in a position to reimburse for unused vacation segments as a result of such delays.  A trip insurance policy will generally insure guests against such losses.  It is strongly recommended that guests take-out a comprehensive travel insurance policy (see section 10).  For details of myguideBritain's recommended insurance provider please click here .

15. Amendments.

a) Any change to the land itinerary after payment of the land package (deposit or full payment) has been charged is considered an amendment.  Whilst we endeavor to waive them where possible, myguideBritain reserves the right to charge an amendment fee to cover administration costs for such changes.  Standard amendment fee is GBP£20/USD$30 per  person per change.

b) Amendment fees are waived for amendments adding extra services to a vacation package however there may additional shipping fees if the service requires physical tickets and if the vacation documents have already been shipped.  For many services e-tickets or e-vouchers can be issued.  Please check with your Britain Vacation Specialist.

c) Ammendment of rail and ferry tickets will carry additional amendment fees and in some cases may need to be cancelled and rebooked (subject to cancellation penalties).  This includes name changes of passengers.

d) Airlines will charge significant change/cancellation fees which are subject to your airline/carrier. myguideBritain reserves the right to charge our standard amendment fees in addition to any fees applied by the airline carrier.  Name changes on flights are considered an amendment and will carry significant change fees, in some cases tickets may need to be cancelled and rebooked.  Please always ensure that correct names (as per passport identification) are submitted on your booking confirmation form.

16. Currency/Rates.


a) Rates on all myguideBritain websites were valid at the time of publishing.  myguideBritain reserves the right to alter or withdraw prices at any time prior to booking and without prior notice if circumstances so warrant.  Any devaluation or revaluation of currencies may affect published prices.

b) Prices of package segments (including accommodation and transport services) may vary considerably throughout the year.  This is due to a number of factors including: seasonality, weekday/weekend stays, public vacations, length of reservation, number of packaged items etc.  Our online “from” pricing is always priced in low season (except where specified) however is not restricted to one particular departure date and you may well receive a quote lower than our “from”prices for your specific tour dependant on the above factors.

17. Eligibility for Travel.

a) It is the responsibility of the guest to ensure that they are in possession of all relevant documents for travel to Britain.  This includes a valid passport and valid travel visas where required.  myguideBritain is unable to refund cancellations due to delayed issue of travel documents such as passports.

b) Your passport should be valid for a period of at least 6 months after the anticipated end of travel.


18. Supplier Feedback, Claims and Complaints.

a) myguideBritain strive to maintain an excellent level of service for our guests however, if you encounter any issues during your travel it is the responsibility of the guest to notify myguideBritain as soon as possible.  myguideBritain will always endeavor to resolve such issues immediately and ensure continued enjoyment of your vacation.  Please note, our core office hours in the UK are 9am to 5pm Mon-Fri (excluding public holidays) in which time we will always be available to contact by telephone, email or in person at our office.  Our UK offices are however open most weekday evenings until 7pm and most Saturdays throughout the summer season.  Our offices are generally closed Sundays and most UK public holidays.

b) Should you have cause to complain after your vacation please do so in writing (via email or traditional mail) no later than 28 days after the end of your vacation.  This time-frame offers myguideBritain the best opportunity to investigate fully and come to a resolution.

19. Applicable Law.

a) The Guest contract with myguideBritain is subject exclusively to and is governed by and construed in accordance with the laws of Scotland and is subject to the exclusive jurisdiction of the Scottish courts.
